Purpose

The Architectural Committee exists to:

  • Maintain the Association aesthetics through a unified and codified process.
  • Assist homeowners in making good choices regarding the exterior of their properties.
  • Establish a set of Approved Colors for housing – in association with the Compliance Committee.
  • Establish a procedure for handling homeowner architectural review requests and following up once the work has been done to ensure it is completed to Association standards.
  • Refer non-compliant exterior modifications to the Compliance Committee.

Commitment of Committee Members

Per our Covenants, “the Architectural Committee shall consist of the Board of Directors.” Article VI, Section 1

As Directors, we have taken a position of influence in our community that must never be abused. We further provide and agree to hold each other to the same level we expect of all homeowners in our community.

Proposed Procedure for Handling Architectural Review Requests

  1. Provide the homeowner with the Architectural Review Request Form. If needed, examine color choices from the ARC Color Packet with the homeowner.
  2. Make sure the homeowner understands that they cannot commence work until approval has been given.
  3. Explain that Review Requests are handled as quickly as possible, but it may take up to 2 weeks to complete the approval process.
  4. Once the form has been received from the homeowner, review it for accuracy and needed detail. Does it contain:
    1. The address of property?
    2. Owner name and contact information?
    3. A detailed description of the changes to be made, including color samples (if not referenced from the ARC Color Packets) and/or a drawing of the changes?
  5. If the request does not contain enough information, return it to the homeowner to complete.
  6. The Director that received the request is responsible for obtaining the required signatures from other Board Members. Please enter the relevant information in the Architectural Project Tracking sheet at https://bit.ly/2Ck43Br
  7. Once a form is completely approved, return a copy to the homeowner, then track the project and note the date completed.
  8. The original directors that signed for approval must verify that the job was completed as originally specified and sign the “Completed Satisfactorily” lines.
  9. If the job was not completed as specified, the homeowner must be notified to correct the variances.
  10. If the variances are not corrected within a reasonable time (7 days), the Director should bring the case up during the next Board meeting.
