Maintenance Committee

Purpose

The Maintenance Committee exists to:

  • Maintenance Committee’s responsibilities are to oversee, and to a lessor extent, supervise the lawn care employees.
  • It is also the Committee’s responsibility to check and inspect unexpected or emergency situations that might arise such as a falling tree branch in the road or a burned out light bulb in the common areas of our community.
  • Ensure that all Vendors used by the Association have adequate licensing and insurance

Commitment of Committee Members

Ours is the most visible work in the Community. We strive to make sure that Members and Vendors are handled professionally and respectfully.

Proposed Procedure for Handling Requests for Proposals (RFPs)

In July, this Committee will draft the RFPs for the various vendors that contract with the Association. This will include, but not be limited to:

  • Lawn Care
  • Irrigation
  • Pool Maintenance
  • Pest Control
  • Building Interior Cleaning

Proposed RFPs will be presented to the Financial Committee for comment/changes, and if necessary, an open RFP workshop will be scheduled to hear Member issues and revise the RFPs accordingly. Proposed RFPs will be delivered the the Financial Committee no later than August 1. The Maintenance and Financial Committees will ensure that Association needs and budget items are met before the RFPs are finalized (by August 15).

Once the RFPs are finalized, they will be posted publicly per the Financial Committee Annual Budget Schedule and delivered to our current vendors for their consideration. All proposals must be received no later than September 30 to be considered for Board approval and inclusion in the following year’s Budget. All contract quotes should be delivered to the Financial Committee by October 1. Any quotes not within the RFP specification should be returned to the Vendor to complete.
